Job Description and Requirements

ROLE PURPOSE

Follow the Dallah Hospital Policies and procedures for the processing of requests from Pharmacy store, internal and external correspondence required within the hospital and with suppliers. To assist the Purchasing Supervisor in analysis and review of all financial records for the integrity of the information adequate contact and reporting.

KEY RESPONSIBILITIES

  • Prepare weekly re-ordering reports for the group of vendors and send it to Pharmacy Manager to make orders for two months consumption or as per work load and items availability.
  • Analyze the weekly zero stock items report and make orders for items to be ordered weekly.
  • Receive purchase requests from Pharmacy Manager and Pharmacy Store Supervisors.
  • Ensures the quantity of request against the consumption.
  • Prepares request for quotation of non-registered drugs for dispatch to the approved vendors selected for the particular items concerned.
  • Check the received quotations comply with the purchase request and forward them to the PHARMACEUTICAL PURCHASING SENIOR OFFICER
  • Prepares purchase order for approved bonuses, discounts with contracts or deals for each items.
  • Print and send the purchase order to concerned vendors compliance with PHARMACEUTICAL PURCHASING SENIOR OFFICER.
  • Follow-up deliveries of items not received from purchase order.
  • Inform Pharmacy Manager and Pharmacy Purchasing Supervisor for any items not available at vendor’s where house.
  • Follow the exchange and substitute of expired medication on monthly basis.
  • Fully aware and actively implement the departmental policies and procedures, local and international standards or requirements related to the department.
  • Actively involves in indicator development, data collection for the department.
  • Participate in hospital Safety Management & Risk Management Programs. Actively reports incidents in the system and whenever needed, participates in incident review, and root cause analysis.
  • Performs any other tasks within his/her competence as directed by the PHARMACEUTICAL PURCHASING MANAGER.

Education & Work Experience Requirements

Educations:

  • Essential: B.Sc. in Pharmacy.

Experience:

  • Essential: Minimum of 2 years’ experience in healthcare setting

Specialized Knowledge/Experience/Skills

  • Good communication skills in English and Arabic languages

  • Computer literate
